Job Title: Executive Assistant (Part-time)

Location: 90% remote. WeWork Platinum Global Access, with access to 60+ locations in Queens, Manhattan and Brooklyn.

DNP Enterprises is a wholesale distributor of "rigid plastic primary packaging components".  Customers rely on us to source and ship them bottles, caps, jars, pumps and sprayers for their products.  Our aim is to provide customers with knowledgeable, dependable, personalized service, and fulfill 100% of orders on-spec and on-time.

About Role

In many ways, every order is like an 'event'. Some are planned well in advance, while others are urgent request. The sales process often starts with an inquiry (i.e. “We’re looking for 50,000 black flip-top dispensing caps - what’s the price and lead time?’), and usually involves working with customers and our extended network of US-based manufacturers to negotiate pricing, coordinate sample approvals, schedule production, arrange shipping and more. Paperwork - including purchase orders, product drawings, invoices, credit applications, shipping documents - as well as timely phone/email support is required throughout. A key part of the business is relationships, and access to information…so the data on our customers, suppliers, inventory, pricing, etc. - is very valuable and purposefully protected. 

In 2020, we’ve acquired more new customers and processed more orders than the previous 2 years combined. We have a warehouse in NJ with a variety of items in stock, and have established a registered listing on ThomasNet. Recently, we’ve also opened an online shop on Alibaba - and have been working on an advertising campaign to launch Jan 2021. With a backlog of work continuing to pile up, I'm looking for an executive assistant to help with day-to-day operations, and organizing our order, product and billing data.

Job Duties

Data Management

- Reconcile data (google drive, box, quickbooks)from google drive and box is transferred, and consistent with info in Quickbooks 

- Add / Update info on contacts, vendors, customers, partners, and orders, as needed

- Update Products Catalog (Item IDs, picture, shipping details, specs, pricing for all items)

- Collect and maintain distribution list (email address, name, company)

Day-to-Day

- Call suppliers to request/verify information on pricing, inventory, lead times, etc

- Complete and submit forms, and follow up on status (Credit applications, vendor applications, tax exemptions, etc)

- Coordinate/arrange freight, get quotes, coordinate between shipper and receiver, delivery documentation

Other

- Organize Sampling (shipping account, branded boxes, availability, photos, etc)

- Improve Reporting (by customer, by date, by product, etc)

- Get quotes and information from screen printers, label makers, graphic designers, fillers, carriers, and consumer and market insights,

- Advertising plan, costs/platform

B2B Marketing Manager

There is also a sales and marketing-focused opportunity for a person with strong communication skills, knowledge of e-commerce, web content management, and B2B marketing experience, to support sales, e-commerce and social media and partner marketing activities. Content production and graphic design skills a major plus.
